Restricted Access
Access to Manage Users
Only Admin users with full access and Account Owner users are able to manage user profiles.
When adding or editing a user's role, you can restrict their access to specific companies. For Admin and Leave Admin roles, you can further restrict access to pay frequencies and pay points within those companies.
The restriction options available depend on the role:
| Role | Company | Pay frequency | Pay point |
|---|---|---|---|
| Account Owner | – | – | – |
| Admin | Full, Read Only, or None | Yes | Yes (if set up) |
| Approval Only | Full or None | No | No |
| Billing Only | – | – | – |
| Leave Admin | Full, Read Only, or None | Yes | Yes (if set up) |
Restrict to Company / Companies¶
Tick the Restrict to selected Companies box. You can then set the access level for each company:
- Full: gives the user full access for their role within the company. For example, a Leave Admin user with full access can perform all Leave Admin tasks for that company, but can't access payroll.
- Read Only: gives the user read-only access – they can see all information associated with their role but can't make changes.
- None: gives the user no access to this company.
If you have several companies, and the same access should apply to all of them, select "Full", "Read Only", or "None" from the Default Access Rule drop-down, and click Copy to all companies. Then click Save.
Default access for new companies
If "Full" or "Read Only" is selected in the Default Access Rule drop-down mentioned above, the user is automatically granted that level of access to any new companies added to the account.
Restrict to Pay Frequency / Frequencies¶
After restricting the user's role to a company or companies, you can further restrict them to specific pay frequencies. Tick the Restrict to selected Pay Frequency box, and use the checkboxes to indicate which pay frequencies they should have access to. Click Save.
Restrict to Pay Point(s)¶
After restricting the user's role to a company or companies, you can further restrict them to specific pay points. Tick the Restrict to selected Pay Points box, and select the relevant groups of employees. Click Save.
Pay point availability
The Restrict to selected Pay Points option appears only if the company has pay points set up.
